A school or training provider can lose access to its systems the week before exams, or the morning enrolment opens. Staff, students and parents all notice at once, and the questions start straight away.
Cyber insurance for schools, colleges and training providers pays for the response, the recovery and the claims that follow. Underwriters look at education with care, because of the data and the number of users. This page explains what they check and how to answer.
Why insurers look closely at education
Education providers hold a lot of personal data, much of it about children. Records can include names, addresses, health notes, safeguarding notes and parents' bank details. A breach means notices to many families and questions from the data protection regulator.
The user base is large and always changing. New students arrive each term, staff come and go, and many people share devices in classrooms and labs. Many providers also rely on cloud learning platforms and online payment systems for fees.
For example, a private school with 600 pupils sends fee invoices by email each term. The underwriter will ask how parents would know if a criminal sent a fake invoice with new bank details.
Some state schools already have cyber protection through a government or local authority scheme. Check what applies to you before you buy.
The cyber risks underwriters see in education
- Ransomware before key dates. Systems stop in exam season or at the start of term.
- Fee payment fraud. Parents receive a fake email from "the bursar" and pay fees into a criminal's account.
- Phishing against staff. One staff login gives an attacker access to student records.
- Old accounts. Former staff and students keep working logins long after they leave.
- Learning platform outages. A cloud platform goes down, and online courses stop for every learner.
- Content claims. A course uses images or material without permission.
What underwriters usually ask education businesses
- Is MFA enforced for all users, including staff email, remote access and third parties? A console export is the evidence.
- Do you remove leavers' access within one working day? A leaver checklist and a recent access review answer it.
- Do staff take phishing training at least once a year? Training completion records cover it.
- How many personal records do you hold, and do you comply with privacy law? A data inventory, a privacy policy and the name of your data protection officer, where the law requires one, answer both.
- Do you filter inbound email, and does your domain block spoofing? Email filter settings and your SPF, DKIM and DMARC records are the evidence.
- Do you keep backups offline or in a purpose-built cloud service, with a restore test in the last six months? A dated test record is what many forms ask for.
- Which hosted providers do you rely on? List your learning platform, management information system and payment provider.
Cover that matters most for education
- Privacy breach management. Notifying families, identity monitoring and a call centre for worried parents.
- Privacy liability and regulatory costs. Claims for failing to protect personal data, and legal help with the regulator.
- Customer payment fraud. Some wordings reimburse customers deceived by emails or sites that impersonate you, plus the cost of warning them. Ask your broker whether parents paying fees count.
- Cyber extortion. Many policies pay a ransom only with the insurer's prior written agreement.
- Business interruption and extra costs. Lost income and the extra cost of keeping classes running, after the waiting period.
- Dependent business interruption. Income lost when your learning platform fails. Some wordings need a written outage report from that provider.
- Media liability. Claims over your website, social media or course content.
If you sell online courses or a learning platform to other businesses, you may also need technology errors and omissions cover. Our MFA checklist shows what underwriters usually accept.
